Modifying approval circulations

After you have started an approval circulation as described in Circulating documents for approval, you can modify it to change users and modify other circulation options.

To modify an approval circulation:

  1. View the document's property page as described in Viewing and editing document properties.
  2. On the ribbon, in the Collaboration group, click Configure approval. A page showing the approval circulation options appears.

OR

  1. in the document list, find the document that you want to circulate.
  2. On the Actions menu of the document that you want to circulate, click Configure approval. A page showing the approval circulation options appears.
  3. For each state of the workflow, click options or type values using the descriptions in the following table.

Option Description

Subject

The subject of the circulation message.

Message

The body of the circulation message.

Deadline

When the users should complete their actions. Type a date or click Date and select a date from the calendar that appears.

Verify

Type user names separated by commas of the persons who will be assigned to verify the circulated documents.

To remove users:

  1. Clear the user name.

Note    You can only remove users that have not yet performed their assigned actions on the document.

To select new users:

  1. Click Find. A new window containing user search options opens.
  2. Type a known name in the corresponding text box and press Enter or click Find users. If a matching user is found, their information appears above the text boxes and they are added to the New users list automatically. If not, modify your search text and try again.
  3. Repeat step 2 until all recipients have been added to the New users list.
  4. Click Close.

In Deadline, type a date when the users should complete verifying the documents or click Date and select a date from the calendar that appears.

Select Notify user by email to send a notification message to the users by email. The messages will be sent when the documents achieve a state in which the users should verify the documents. This option is cleared by default unless configured otherwise by a system administrator.

Approve

Type user names separated by commas of the persons who will be assigned to approve the circulated documents. To remove or select users, follow the instructions for the Verify options.

In Deadline, type a date when the users should complete approving the documents or click Date and select a date from the calendar that appears.

Select Notify user by email to send a notification message to the users by email. The messages will be sent when the documents achieve a state in which the users should approve the documents. This option is cleared by default unless configured otherwise by a system administrator.

  1. Click Save. The document's property page reappears.
